BentoBox’s Onboarding Experience & Asset Uploader 



Overview


We began with basic Word document surveys for restaurant and client onboarding, but this quickly highlighted the need for a more organized file uploader and a more engaging, intuitive space for clients to complete content and design surveys.

This strategic shift recognized client onboarding as equally critical as employee onboarding—shaping first impressions, setting expectations, and building trust through a personalized, seamless experience. By streamlining processes and introducing visually impactful touchpoints, we reduced friction while creating opportunities for upselling and retention. A well-crafted onboarding experience not only set clients up for success and reduced churn but also reinforced our commitment to addressing their unique needs and maintaining industry standards.

1. Onboarding Questionaire


Previously, restaurant owners were sent a static Word document to capture their ideas and intentions for their new website. While project managers felt the content of the questions was still relevant, the format often discouraged owners from completing it, as it felt tedious and impersonal.

To address this, we transformed the questionnaire into a more engaging and efficient experience. We retained the core questions but redesigned how they were presented—introducing interactive elements that guided users through the process smoothly. Owners could select from commonly used keywords and answer questions one at a time, creating a sense of progress rather than overwhelm.

Recognizing the importance of setting expectations, we also incorporated a progress bar, giving users clear visibility into how far along they were and how close they were to completion. This thoughtful approach reduced friction, encouraged completion, and made the onboarding process feel more intuitive and purposeful.






2. Asset Uploader

 
The asset uploader is a crucial component across digital platforms, content management systems, and creative workflows—enabling seamless content integration, efficient management, and enhanced user engagement. By simplifying the upload and organization of files like images, videos, and documents, it provides intuitive interfaces, supports bulk uploads, and ensures quality through validation and metadata.

To address a major pain point, we redesigned the onboarding experience for restaurant owners and managers, replacing the disorganized flow of email submissions with a streamlined, user-friendly asset uploader. This shift empowered clients to easily manage their content, transforming their onboarding experience and significantly improving our ability to deliver tailored, well-designed sites efficiently.






3. Website Inspiration


We often struggled to get restaurant owners to share visual inspiration or clearly communicate their aesthetic preferences and desired features for their websites. To address this, we curated an extensive gallery of websites we had previously designed, allowing owners to easily select examples that resonated with their vision. This streamlined the process, provided clearer creative direction, and helped align expectations from the start of onboarding.
